- Property Information — number of bedrooms, bathrooms, pool or hot tub amenities, and property location details provided through our revenue estimate tool.
- Communications — the content of messages you submit through our contact form or any correspondence with our team.
- Usage Data — IP address, browser type, device type, pages visited, time spent on pages, and referring URL, collected automatically via cookies and analytics tools.
- Marketing Engagement Data — whether you opened an email, clicked a link, or interacted with one of our advertisements.
We do not collect sensitive personal information such as Social Security numbers, government-issued ID numbers, financial account credentials, precise geolocation data, or health information.
2. How We Use Your Information
Emperor Rentals uses your personal data exclusively for internal marketing and business development purposes. We do not sell your data to third parties. Specifically, we use your information to:
- Respond to your inquiries and deliver the revenue estimate or consultation you requested.
- Send you marketing communications about our vacation rental management services, promotions, and educational content related to short-term rental investing in Tampa Bay.
- Build and manage custom audience lists for digital advertising on platforms such as Google Ads and Meta (Facebook/Instagram), including Remarketing and Customer Match campaigns.
- Serve targeted advertisements to you after you have visited our website (remarketing / retargeting), reminding you of our services as you browse other websites or social media platforms.
- Analyze the performance of our marketing campaigns to improve content, messaging, and targeting efficiency.
- Comply with legal obligations and enforce our terms.
Under the FTC Act Section 5 (15 U.S.C. § 45), we are committed to transparency and will never use your data in a deceptive or unfair manner. Our use of data is limited to the purposes disclosed in this policy.
3. Remarketing & Digital Advertising
We participate in remarketing programs that allow us to show relevant advertisements to you after you leave our website. This is a standard digital marketing practice.
Google Ads Remarketing
We use Google Ads remarketing tags to display our ads across the Google Display Network and YouTube to previous visitors of our site. Google's use of cookies enables ads to be served to users based on their prior visits. You may opt out of Google's use of cookies by visiting Google Ads Settings or the Network Advertising Initiative opt-out page.
Meta (Facebook & Instagram) Remarketing
We use the Meta Pixel on our website to build Custom Audiences and serve ads on Facebook and Instagram to users who have previously visited our site or submitted their information. We may also upload encrypted customer lists (hashed email or phone) to Meta's Customer Match feature to reach existing contacts. You may manage your ad preferences at Facebook Ad Preferences.
Google Customer Match & Ad Lists
We may upload hashed (encrypted) email addresses or phone numbers to Google Ads' Customer Match feature to serve tailored advertising to our existing contacts across Google Search, Gmail, YouTube, and the Display Network. This data is transmitted in a one-way encrypted format and Google cannot reverse the hash to obtain your raw data.
All remarketing and advertising activities are conducted in accordance with the IAB CCPA Compliance Framework, the Google EU User Consent Policy, and the Meta Business Terms of Service.
4. Cookies & Tracking Technologies
Our website uses cookies and similar tracking technologies to enhance your experience and support our marketing activities. The types of cookies we use include:
- Strictly Necessary Cookies — required for the website to function (e.g., session management). Cannot be disabled.
- Analytics Cookies — used by Vercel Analytics and Google Analytics to understand how visitors interact with our site (pages visited, time on site, traffic sources).
- Marketing / Advertising Cookies — placed by Google Ads and the Meta Pixel to enable remarketing and measure ad campaign performance.

5. Third-Party Services & Disclosures
We share limited personal information with the following categories of trusted third-party service providers solely to operate our business and deliver our services. We do not sell or rent your personal data.
- CRM & Marketing Automation — GoHighLevel (GHL) receives contact information (name, email, phone) submitted through our forms to manage lead follow-up and communications.
- Advertising Platforms — Google LLC and Meta Platforms, Inc. receive hashed audience data for remarketing purposes as described in Section 3.
- Analytics — Vercel Analytics processes anonymized usage data to help us improve our website.
- Email Communications — Marketing emails are sent via our marketing platform and are governed by the CAN-SPAM Act.
- Revenue Estimation — PriceLabs receives property address and bedroom details to generate rental revenue estimates. No personally identifiable information is stored by PriceLabs.
All third-party service providers are contractually bound to use your data only as directed by us and in compliance with applicable privacy laws. We do not authorize them to use or disclose your personal information for their own marketing purposes.
6. Email Communications & CAN-SPAM Compliance
When you submit your contact information to Emperor Rentals, you may receive marketing emails from us. All email communications comply with the CAN-SPAM Act of 2003 (15 U.S.C. § 7701 et seq.). Specifically:
- Every marketing email includes our physical mailing address: Tampa Bay, Florida, United States.
- Every marketing email includes a clear, conspicuous, and functional unsubscribe mechanism.
- We honor all opt-out requests within 10 business days.
- Subject lines accurately reflect the content of the email — no deceptive headers or misleading information.
- All commercial emails are clearly identified as advertising when required.
You may opt out of receiving marketing emails at any time by clicking the “Unsubscribe” link in any email or by contacting us at privacy@emperormgmt.com. Transactional and service-related communications are not subject to opt-out under the CAN-SPAM Act.
7. Your Privacy Rights
Depending on your state of residence, you may have the following rights regarding your personal information:

- Right to Know — request disclosure of the categories and specific pieces of personal information we have collected about you.
- Right to Delete — request deletion of personal information we have collected, subject to certain exceptions.
- Right to Correct — request correction of inaccurate personal information.
- Right to Opt-Out of Sale or Sharing — we do not sell personal information. However, our use of the Meta Pixel and Google Ads may constitute "sharing" under the CPRA. You may opt out by contacting us.
- Right to Limit Use of Sensitive Personal Information — not applicable as we do not collect sensitive PI.
- Right to Non-Discrimination — we will not discriminate against you for exercising your CCPA rights.

To exercise any of these rights, submit a written request to privacy@emperormgmt.com. We will respond within 45 days (extendable by an additional 45 days with notice). We may need to verify your identity before processing your request.
8. Data Retention
We retain your personal information only for as long as necessary to fulfill the purposes outlined in this policy, or as required by law:
- Lead and contact data is retained in our CRM for up to 3 years from your last interaction with us, unless you request earlier deletion.
- Marketing engagement data (email opens, clicks) is retained for up to 2 years.
- Website analytics data is retained for up to 26 months in accordance with Google Analytics standard retention settings.
- Ad audience lists are refreshed at minimum every 90 days; customer lists are removed from ad platforms within 30 days upon request.
When data is no longer required, we securely delete or anonymize it in accordance with our internal data retention schedule.
9. Data Security
We implement commercially reasonable technical and organizational safeguards to protect your personal information from unauthorized access, disclosure, alteration, or destruction. These measures include encrypted data transmission (HTTPS/TLS), restricted access controls, and use of reputable third-party platforms with their own security certifications.
However, no method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security, and we encourage you to be cautious about what personal information you share online. In the event of a data breach that affects your rights and freedoms, we will notify affected users as required by applicable law.
10. Children's Privacy — COPPA
Our website and services are directed exclusively to adults (18 years of age or older) and are not intended for children under the age of 13. We do not knowingly collect personal information from children under 13. This practice is consistent with the Children's Online Privacy Protection Act (COPPA) (15 U.S.C. §§ 6501–6506) and the FTC's COPPA Rule (16 C.F.R. Part 312).
If you believe we have inadvertently collected information from a child under 13, please contact us immediately at privacy@emperormgmt.com and we will promptly delete that information.
11. Do Not Track Signals
Some browsers transmit “Do Not Track” (DNT) signals to websites. Currently, there is no universally accepted standard for how websites should respond to DNT signals. Our website does not alter its data collection practices in response to DNT signals. California residents may exercise their opt-out rights as described in Section 7.
12. Changes to This Privacy Policy
We reserve the right to update this Privacy Policy at any time. When we make material changes, we will revise the “Effective Date” at the top of this page. We encourage you to review this policy periodically. Your continued use of our website after any changes constitutes your acceptance of the updated policy.
For changes that significantly affect your rights, we will make reasonable efforts to notify you via email (if we have your contact information) or a prominent notice on our website.
